Conversegy ("we", "us", "our") is a sole trader business operating in Ireland under the name Conversegy. We are committed to protecting your privacy and handling your personal data in a transparent, lawful, and respectful manner.

This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website, our tools, and our AI call-answering demo line. Our services are intended for business users only.

For the purposes of data protection law, Conversegy is the data controller for the personal data described in this policy. We are based in Ireland, and the Data Protection Commission (DPC) is our lead supervisory authority.

2. What this policy covers

This policy explains what happens when you:

  • Browse conversegy.com

  • Contact us through a form or by email

  • Use any of our AI tools on the site

  • Call our demo line (the click-to-call number on conversegy.com) to hear how Conversegy works

  • Are subsequently contacted by us to arrange a follow-up call about the service

It applies to visitors, prospective customers, and demo callers — people exploring Conversegy as a service. It does not cover how Conversegy is used by our own customers to handle calls from their customers; that's a separate arrangement, governed by our customer agreement and data processing agreement with each business that signs up, where they are the controller and we act as their processor.

3. What we collect, and why

a) Contact information

When you contact us through a form or email:

  • Name

  • Email address

  • Message content

b) Tool usage data

When you use our AI tools on the site:

  • Text you submit into tools

  • Generated outputs

By default, this data is not stored. When storage is enabled for testing purposes, data is retained for a maximum of 60 days and then automatically deleted.

c) Technical data

We may automatically collect IP address, browser type, device type, pages visited, and referrer URL. This is collected only for security and performance monitoring.

d) The demo call

When you ring the demo number, our AI voice assistant answers, has a conversation with you about the service, and may offer to arrange a follow-up call with our founder. In the course of that call, we collect:

  • Your name — spoken during the call, captured by transcription

  • Phone number — caller line identification information is provided to us by our telecommunications provider

  • Email address — if you provide one, for sending a confirmation

  • Business type / trade — spoken during the call (e.g. "I'm a plumber")

  • Company name — if you provide one

  • Audio recording of the call — recorded automatically from the start of the call

  • Transcript of the call — generated automatically from the recording

Why we collect it: to let you experience the demo, to follow up and arrange the call you've asked for, and to send you a confirmation.

How we use recordings to improve the service: Recordings and transcripts are reviewed solely to improve the configuration, prompts, and accuracy of Conversegy's own demonstration system — for example, identifying where the assistant misunderstood a caller. They are not used to train any third-party foundation model, and are not used for any other product or purpose.

Lawful basis for recording: We record demo calls based on our legitimate interests in operating, improving, and securing our demonstration service. We have considered the impact on your rights and believe this interest does not override them, particularly given that you are told at the start of the call that it is recorded and can end the call at any point. We do not rely on your consent to record, since recording begins automatically and ending the call is not a meaningful way to withhold consent.

Special category data

Some of our demo callers work in healthcare-adjacent trades (dental, physiotherapy, veterinary). We do not intentionally collect health information about you or your patients/clients during the demo call. The call is about your business — what kind of trade you're in, not what conditions you treat, and the assistant does not ask about clinical details. If such information is incidentally disclosed during a call, it may appear within the recording or transcript, which is retained for up to 30 days under the same retention period as the rest of the call (see Section 8) and then deleted. We do not use that information for any purpose, do not extract it into any separate record, and will consider requests for early deletion where feasible — contact us at info@conversegy.com.

4. Analytics and cookies

We use Vercel Analytics, a privacy-focused, first-party analytics service provided by our hosting provider. Vercel Analytics does not use advertising cookies, does not perform cross-site tracking, does not build behavioural profiles, and does not sell or share user data.

We also use the Meta Pixel for advertising measurement — to understand how people find us via our social media ads and to measure their effectiveness. The Meta Pixel only runs if you accept marketing cookies via the cookie banner on our site; if you reject or don't respond, it does not load. You can change your choice at any time by clearing your cookies and revisiting the site, or via the cookie settings link in the banner.

We do not use Google Analytics or other advertising pixels beyond the Meta Pixel described above. Only essential technical cookies are used outside of this; we do not use other third-party marketing or tracking cookies.

5. AI processing

Some tools on our site process your input using a third-party AI inference provider:

  • Groq Inc. — provides the infrastructure used to process prompts submitted to certain tools on our website.

We have entered into a data processing agreement with Groq where required by law. Inputs submitted to these tools are processed solely to provide the requested output and are not used by us to train our own models.

We strongly recommend not submitting sensitive, confidential, or personal data into these tools.

The demo call works differently — see Section 3(d) and Section 6 below for what's collected and who processes it on a call.

6. Who we share it with (our processors)

We share data only with the following processors, each of whom processes it solely on our instructions, for the purposes described in this policy:

  • Vercel — website hosting and analytics: technical data, tool usage data

  • Groq Inc. — powers certain AI tools on the site: tool inputs and outputs

  • ElevenLabs — runs the AI voice assistant on the demo line; records and transcribes the call: call audio, transcript

  • Twilio — telephony provider; connects the call and sends SMS confirmations: phone number, call connection data, SMS content

  • Google LLC (Google Workspace — Calendar & Gmail) — schedules the follow-up call; sends email confirmations: name, email address, booking details

  • HubSpot — stores your contact details and a note about the call so we can follow up: name, phone number, email, business type, call summary

  • Meta — advertising measurement (Meta Pixel), only if you accept marketing cookies: technical/browsing data for ad attribution

We have entered into data processing agreements with each of these providers, as required by law. We do not sell personal data, and we do not share it with anyone for marketing purposes outside this list.

7. International data transfers

Some of our processors are based outside the European Economic Area (EEA), principally in the United States. This means your personal data may be transferred to and processed in the US.

Where this happens, we rely on the following safeguards, as required by Chapter V of the GDPR:

  • EU-US Data Privacy Framework (DPF): Where our processor is certified under the DPF (a mechanism recognised by the European Commission as providing an adequate level of protection), we rely on that certification.

  • Standard Contractual Clauses (SCCs): Where DPF certification doesn't cover the specific service or data flow, we rely on the European Commission's Standard Contractual Clauses, incorporated into our agreement with the relevant processor.

8. How long we keep your data

  • Demo call recording and transcript — 30 days from the date of the call, then deleted

  • Contact details and booking notes (HubSpot) — until you become a customer, decline to proceed, or 3 months of inactivity, whichever is sooner — then deleted or anonymised, unless you've given consent for us to keep your details on file for longer

  • Tool inputs (when storage is enabled for testing) — maximum 60 days, then automatically deleted

  • Tool inputs (default) — not stored

  • Contact form messages — retained only as long as necessary to respond

  • Email confirmations — retained per standard Gmail/Google Workspace settings for our account

After the retention period, demo call recordings and transcripts are deleted from ElevenLabs and are not recoverable. If you become a Conversegy customer, your contact and account data is then retained under the separate terms of your customer agreement. You may request deletion of your data at any time.

9. Legal basis for processing

We process your data under the following lawful bases, depending on the activity:

  • Consent — when you contact us through a form, or when you accept marketing cookies (Meta Pixel)

  • Legitimate interests — operating and improving our website, tools, and demo service, balanced against your rights

  • Performance of a contract, or steps taken at your request — where you actively request a follow-up call and provide contact details for that purpose

You are told at the start of the demo call that it is recorded and AI-processed, and you can end the call at any point if you'd rather not proceed.

The demo assistant has conversations, offers follow-up appointment times, and records your details, but it does not make any decision producing legal effects or similarly significant effects on you solely by automated means.

10. Your rights under GDPR

You have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate data

  • Delete your data, in certain circumstances

  • Restrict how we use your data

  • Object to processing based on legitimate interests

  • Object to direct marketing at any time

  • Data portability, where applicable

  • Withdraw consent at any time, where processing is based on consent

  • Complain to the Irish Data Protection Commission, or your own country's supervisory authority, if you believe your data has been mishandled

11. Data security

We use reasonable technical and organisational measures to protect your data against loss, misuse, unauthorised access, and disclosure. However, no system can be guaranteed 100% secure.

12. Children

Our services are intended for business users only and are not directed at children.

13. Changes to this policy

We may update this Privacy Policy from time to time — for example, if we change processors or add new features to the site or demo line. The latest version will always be available on this page, with the "last updated" date above kept current.
